For years, insurance compliance has been viewed as a necessary administrative task. Collect the Certificates of Insurance (COIs), track expiration dates, file the documents away, and hope everything is in order if a claim or audit ever occurs.

For years, insurance compliance has been viewed as a necessary administrative task. Collect the Certificates of Insurance (COIs), track expiration dates, file the documents away, and hope everything is in order if a claim or audit ever occurs.

It is not glamorous work, but it is work that has to get done.

As a result, many organizations have treated compliance as a cost center. Something to complete as efficiently and inexpensively as possible.

That mindset is changing.

Expectations Are Higher Than Ever

Commercial property owners, general contractors, and insurance brokers are under increasing pressure to demonstrate strong operational controls and reduce risk.

Simply collecting a COI is no longer enough.

The real question has become:

Can you demonstrate that insurance actually complies with the contract?

That distinction matters.

A current certificate does not necessarily mean the required coverage limits are in place. It does not guarantee the correct endorsements have been issued. It does not confirm the certificate holder matches the contract or that required policies remain in force.

Those gaps often remain hidden until a claim, an audit, or a dispute.

By then, it is too late.

Operational Excellence Is Becoming a Differentiator

The organizations that stand out are not necessarily the ones with the largest teams.

They are the ones with the best processes.

Property management companies that consistently verify tenant compliance, contractors that confidently manage subcontractor insurance, and brokers that provide ongoing compliance support create value that extends well beyond the initial transaction.

Strong compliance practices help organizations:

  • Reduce administrative work.

  • Improve audit readiness.

  • Demonstrate stronger risk management.

  • Build trust with owners and clients.

  • Scale operations without proportionally increasing headcount.

Compliance stops being an administrative burden and becomes part of the customer experience.

Technology Is Changing the Equation

Historically, improving compliance meant hiring more people.

More spreadsheets.

More emails.

More follow-up.

More manual reviews.

Today, AI and workflow automation allow organizations to rethink that model.

Routine tasks like collecting documentation, reading contracts, verifying insurance requirements, identifying coverage gaps, sending reminders, and tracking renewals can now be automated.

Instead of spending hours chasing paperwork, teams can focus on the relatively small number of exceptions that require human judgment.

Technology is not replacing people. It is allowing people to spend their time where they add the most value.

The Chasing Is the Work

One of the biggest misconceptions about insurance compliance is that reviewing a Certificate of Insurance is the difficult part.

In reality, most of the effort happens before the review ever begins.

Finding the right contact.

Following up with vendors, tenants, subcontractors, and brokers.

Requesting updated documentation.

Sending reminders.

Tracking responses.

Repeating the process every time a policy renews.

For many organizations, the chasing is the work.

Reducing that administrative burden has a direct impact on productivity, consistency, and the overall client experience.

Compliance Builds Better Businesses

Organizations often view compliance as something they do to satisfy an insurance requirement or prepare for an audit.

The most successful organizations see it differently.

They view compliance as an operational capability.

When compliance is consistent and well documented, owners have greater confidence in their property managers. General contractors spend less time managing paperwork and more time managing projects. Brokers strengthen client relationships by providing ongoing value long after a policy is placed.

Good compliance does more than reduce risk.

It improves operations.

It builds trust.

It becomes part of the value an organization delivers to its customers.

Looking Ahead

As expectations around risk management continue to increase, compliance will become an increasingly important competitive advantage.

Organizations that rely on manual processes will continue to spend valuable time chasing documents and reacting to issues after they are discovered.

Organizations that automate compliance will operate more efficiently, provide better documentation, reduce risk, and deliver a higher level of service to their clients.

Compliance is no longer just about avoiding problems.

It is about creating operational excellence.

And increasingly, operational excellence is what separates good organizations from great ones.

The Certificate Isn't the Deliverable. Contractual Risk Transfer Is.

For many organizations, Certificate of Insurance (COI) compliance begins with collecting a document and making sure it stays current. A certificate is requested, the expiration date is tracked, and the document is filed until renewal. That process is important, but it is only the beginning.

Your Sub Is Insured. You're Still Exposed.

A subcontract requires $2 million in general liability coverage, with your company named as additional insured. The sub sends over a certificate. It's current, it's signed, it's filed. Everyone moves on. The certificate showed $1 million in coverage, and your company was never added as additional insured. Nobody caught it, because nobody read the certificate against what the subcontract actually required. It went in the folder marked compliant. Then a claim comes in at $1.4 million. The sub's policy pays its limit and stops. You aren't named on the policy, so the sub's carrier has no duty to defend you. The rest is yours, plus your own legal bill. The certificate never expired. It was wrong from the day it arrived.

The Coverage Gap Time Bomb: 50-75% of COIs Don't Match the Lease

A Senior Vice President at a major commercial insurance brokerage recently told us "every property manager I work with is sitting on a ticking time bomb of coverage gaps." He wasn't being dramatic. He was naming a quiet crisis in commercial real estate that most PMs don't see until a claim hits. Across the commercial portfolios we've analyzed, the pattern is consistent: between 50-75% of tenant Certificates of Insurance fail compliance verification when checked against actual lease requirements. The tracker says compliant. The lease says something different. The owner is exposed.
